IT and System Officer
Job Summary
The IT and Systems Officer is responsible for ensuring the security, reliability, efficiency, and compliance of the Company's technology systems, digital platforms, information assets, and operational processes.
Duties and Responsibilities
1. IT Systems & Technology Management
- Manage and maintain the Company's IT infrastructure, applications, platforms, and digital systems.
- Ensure that critical systems are operational, accessible, secure, and properly maintained.
- Monitor the Company's software applications, SaaS platforms, cloud-based systems, and productivity tools.
- Maintain an updated inventory of hardware, software, licenses, user accounts, system subscriptions, and IT assets.
- Coordinate installation, configuration, upgrading, and maintenance of IT systems.
- Evaluate new technologies and recommend systems that can improve operational efficiency.
- Monitor system performance and identify recurring technical issues.
- Coordinate with external IT vendors, software providers, and technical support providers.
2. User Account & Access Management
- Manage and monitor access to Company systems.
- Create, modify, suspend, and deactivate user accounts.
- Ensure that employees and VAs receive only the level of access necessary to perform their duties.
- Implement role-based access controls.
- Conduct regular access reviews.
3. Information Security & Data Protection
- Implement and monitor information security controls.
- Protect confidential information from unauthorized access, disclosure, modification, or loss.
- Monitor potential security incidents.
- Maintain a Client Systems Access Matrix.
- Document systems accessible to each VA.
- Ensure access is granted only upon proper authorization.
- Monitor compliance with client security requirements.
- Assist in client security audits.
- Ensure client credentials are not shared.
- Ensure client data is not transferred to unauthorized systems.
- Immediately report suspected client data/security incidents to Management.
- Maintain records of access provisioning and revocation.
- Assist in ensuring that critical systems and information can be restored in the event of system failure or disaster.
Job Requirements
Experience
- At least 2–4 years of experience in IT, systems administration, compliance, information security, or related functions.
- Experience in a BPO, Virtual Assistant, staffing, outsourcing, or remote-work environment is highly preferred.
Education
- Bachelor's Degree in Information Technology, Computer Science, Information Systems, Cybersecurity, Business Administration, or a related field.
Skills & Qualifications
- Knowledge of IT systems administration and troubleshooting.
- Knowledge of cloud-based applications and SaaS platforms.
- User account and access management.
- Basic knowledge of networking and cybersecurity.
- Knowledge of data privacy and information security principles.
- IT asset and software license management.
- System monitoring and incident management.
- Data backup and recovery.
- Familiarity with remote-work and collaboration tools.
- Ability to document and develop IT policies, procedures, and SOPs.
- Strong compliance monitoring and audit skills.
- Ability to identify system/process gaps and risks.
- Root cause analysis and problem-solving.
- Ability to develop corrective and preventive actions.
- Strong attention to detail.
- Ability to maintain accurate records and documentation.
- Understanding of confidentiality and data protection requirements.
